A PDF is the format a fax service handles best, because the pages are already laid out. Most problems come from what else a modern PDF can contain.

Send it in four steps

  1. Sign in and choose Send fax.
  2. Upload the PDF. Up to five files, 5 MB each, and 20 pages in one fax.
  3. Check the preview: page order, rotation, and whether every page is readable in black and white.
  4. Type the fax number with its country code, confirm, and follow the status.

What a fax cannot carry

A fax is a picture of each page. Links, form fields, comments, layers, bookmarks and attachments do not survive, and neither does colour: pages are rendered in grey and then reduced to pure black and white. A signature or annotation must appear in the rendered preview to be included in the fax. Print the document to a new PDF first if you want to be sure what the recipient sees.

Files that are refused, and why

  • Password-protected. The pages cannot be read, so the file is refused. Remove the password and export again.
  • Damaged or truncated. A PDF that did not finish downloading will not open. Download it again.
  • With scripts or embedded files. Active content is not opened, for safety. Export a plain copy.
  • Very large pages. A page longer than 24 inches on a side is rejected — usually a poster or a spreadsheet printed to one endless page.

Make a light PDF readable

Faint grey text and pale highlighting disappear when the page becomes black and white. Before sending, look at the preview and ask whether every line would still be legible if it were printed on a cheap machine. If not, darken the text in the source document rather than adjusting anything afterwards.

If the file is too big

Our browser PDF compressor rewrites a PDF compactly and strips metadata, all on your device. It cannot re-encode scanned images, which are most of the size of a scanned document — for those, rescan in black and white or split the document across two faxes.

Questions

Can I fax a Word or Excel file?
Not directly. Export it to PDF from Word or Excel first, then send the PDF.
Does the recipient get my PDF file?
No. They get fax pages on their machine or in their own fax service. The fax carrier processes the prepared document to transmit its pages; the recipient output depends on their machine or service.
Do I need to flatten the PDF?
It is safer. Anything interactive is dropped when the page is rendered, so flatten first and you will see exactly what is sent.
