A cover sheet is the first page of a fax. It makes sure the pages reach the right person on the other side and tells them what they are looking at.

Why use one

Many offices share a single fax machine. Without a cover sheet, a fax can sit in a tray or reach the wrong desk. The cover sheet names the recipient and the sender and lets the recipient check that no pages are missing.

What to include

  • To: the person's name, and their department or company.
  • From: your name, company and a phone number for questions.
  • Fax numbers of both sides.
  • Date and number of pages, including the cover sheet.
  • Subject and a short message, if needed.

A confidentiality notice

If the fax contains private information, a short notice asks anyone who receives it by mistake to tell you and destroy it. It does not replace care with the number, but it is a common courtesy. Keep sensitive details out of the cover sheet itself: it is the page most likely to be seen by others.

Keep it simple

Fax pages are black and white. A plain layout with large, dark text works better than colour, photos or thin fonts. A small logo is fine if it prints clearly in black and white.
